Clean text copied from a PDF before pasting it into a document
Text copied from a PDF can arrive with repeated spaces, awkward line breaks or words split across lines. Clean a copy in stages so that formatting changes do not silently alter names, numbers or meaning. Keep the PDF open for comparison.
Check what was copied
Paste a short sample into a plain-text editor first. If no text can be selected in the PDF, it may contain page images rather than selectable text. These cleanup tools do not perform OCR. If the copied text has incorrect letters or a scrambled reading order, spacing cleanup will not repair those problems either.
Normalize repeated spaces
Paste the text into the Extra Space Remover. Choose Clean repeated spaces and select Clean text. This replaces runs of spaces and tabs with a single space, trims each line and preserves internal line breaks.
Do not choose Remove all whitespace for ordinary prose: it removes spaces and line breaks, joining words together. Review tables separately because their spacing may have been carrying useful column structure.
Repair paragraphs deliberately
The cleaner does not distinguish a wrapped line from the end of a paragraph. Join unwanted line breaks manually in your document editor, using the original PDF to identify real paragraphs. Check words broken by end-of-line hyphens individually; some hyphens belong in the word and should remain.
Replace repeated mistakes carefully
Use Find & Replace when the same incorrect phrase appears repeatedly. Enter the exact text to find and its replacement, then select Replace all and inspect the output.
Matching is literal and can occur inside longer words. A short search such as “in” could change words you did not intend to edit. Prefer a distinctive phrase and enable Ignore letter case only when that is appropriate. The tool does not support regular expressions.
Compare before using the result
Read the cleaned text beside the original. Pay particular attention to decimal points, minus signs, dates, names and paragraph boundaries. Both tools process the pasted text in the browser tab without uploading or saving the draft. Copy the finished text into your document before leaving.
